Scanning paper files, whether your internal documents or your clients, the importance of it being done correctly is critical. This is not a job to take lightly. DataVault trains scanner operators to successfully understand the entire process of converting paper files to electronic format and to do it efficiently.
Students will:
- Learn proper document preparation, along with doing it more effectively and with zero errors
- Receive a comprehensive understanding of document preparation methods
- Gain a sense of the extreme importance this step is and why it is critical to the process
- Based on software used, students will process multiple “projects” preparing the documents for scanning according to output features of the software
- How to effectively use the scanner’s features and clean it
- Understand the scanning process; using the scanner and the software completely
- Gain knowledge on how to improve speed, reduce errors and create perfect images
- Identify acceptable and unacceptable images
- Students will scan the files they prepared
- Learn proper indexing methods based on software used and use each feature to index (such as zonal ocr, import from a database, etc)
- Students will index the documents they scan
- Understand how to perform QA and why it’s so vital to your success.
- Perform data output to PDF, Searchable PDF, TIFF, XML and an EDM system if available
- How to identify issues that need addressing and when to alert management or call the customer
- Learn strict procedures for documenting time and special handling
- Learn troubleshooting techniques for increased productivity
When our instructor leaves your facility, students will be able to confidently begin and process your scanning projects
